Writing a thank you letter to the employer after an interview is still new for the Ukrainian market. This is Western practice. She didn’t really take root in the vastness of our homeland.

Often our people generally perceive thank you letter as hypocrisy or sycophancy. But in vain. A letter of gratitude is an opportunity to stand out, leave or consolidate a pleasant impression, and correct small mistakes.

Why is this necessary?

  • To stand out. Even after reading this article, not everyone will write a thank you letter. And now, even more so, few people do this. But gratitude, if it is sincere, is always pleasant.
  • To remind you of yourself. Often the employer takes time to “think” and look at more candidates. It would be very useful to remind him of yourself and your professional qualities.
  • To smooth out mistakes. Do you remember the feeling after a test at school, when the notebook has already been handed in, and then something really important comes to mind? Sometimes this happens after an interview. In a thank you letter you can “speak” what was left unsaid. Brief and clear.

A thank you letter won't fix a bad interview, but it will help brighten up minor mistakes.

When to write?

  • When you are truly grateful. No matter how banal and obvious it may sound. When you (and presumably your interviewer too) enjoyed the interview. You feel that everything went very well.
  • When you are ready to accept the position. You are satisfied with the company, position, working conditions. You know that you not only want to work there, but also meet the requirements.
  • When you are NOT ready to accept the position. Let's say the interview went well and the company is interested in you. But you realized that you don’t want to work for this company. Or you received another, more interesting offer. Letter of thanks to in this case will explain the reason for your refusal. In addition, it will emphasize your consciousness and professionalism.

Who should I write to?

You must write a separate personalized letter to the recruiter or HR manager who conducted the interview. If there were several people at the interview, write to each of them separately. To do this, try to remember or write down the names of the interviewers.

What and how to write?

A thank you letter is sent within 24 hours (maximum three) after the interview and may include:

  • Thank you for your time and for the pleasant interview. At the beginning of the letter, remind the position you are applying for and the date of the interview.
  • In the main part, mention the most inspiring moments of the interview that made you want to get this job.

“I have long dreamed of taking part in the *** project, and I was glad to learn that your company will implement one of them.”

  • Mention skills/experience that will help you cope with your new job responsibilities.
  • If you forgot to mention something important, now is the time. You can also make a small rationalization proposal.

“Having once again analyzed my previous experience, namely [briefly (!) about the experience itself], I came to the conclusion that I could make a worthy contribution to the development of your company”;

Finally, remind your coordinates and say goodbye.

How not to write?

  • Too emotional. This is still a business document.
  • Too detailed and “spreading thoughts along the tree.”
  • Repeating the entire interview and/or resume.
  • Flattering and feigned. This is very noticeable. If you don’t want to thank, it’s better not to write anything. Falsehood will work against you.

The recruiters themselves admitted that a thank-you letter is not capable of radically influencing their decision. But they believe that such a step indicates the applicant’s strong motivation to work in the company. Recruiters also note the candidate’s dedication and perseverance. A candidate may not be selected for the position in question, but if other vacancies arise, recruiters say they will be more likely and more willing to apply for his candidacy. Remember, a good impression from an employer when communicating with you increases the likelihood of your future employment.

  • improving the quality and organization of work;

Correct design

First of all, the HR employee should pay attention to the fact that gratitude in work book must be formalized in compliance with the norms and rules adopted in office work. Concerning both the actual order of making entries and the specifics of the clerical vocabulary. A work book is an official document of an employee. Accordingly, when making notes and entries into it, it is necessary to take into account existing standards.

What does gratitude give in a work book?

When is it appropriate to write a thank you letter?

A letter of gratitude can be written for any employee of the company. It is drawn up on behalf of the head of the organization or the head of the department. How to properly express gratitude?

The text of the thank you letter is written by hand, drawn up on letterhead organization or printed on a special piece of thick paper. The latter can be bought in a store or ordered in a salon printing services taking into account the specifics of the event.

In the “header” the name of the sending company is indicated, below (on the right) the last name, first name, patronymic and position of the recipient are placed (if the recipient is an organization, then its name is indicated with or without the details of the director), then in the center of the sheet in large font is the inscription “ Letter of gratitude”, followed by a direct address to the addressee, the main part of the text, the signature of the originator with the company seal and the date.

It is best to print the text of the thank you letter on a special ready-made form

  • Use formal business style, except in cases where the event dictates the possibility of using a humorous tone of the letter (rare).
  • The employee should be contacted in the appropriate form. The word most often used is “respected”, after which the addressee’s name and patronymic are mentioned. Addresses like “dear”, “dear” and the like are unacceptable.
  • Avoid clichés and cliched phrases, use your imagination.
  • Try to base it on the employee's personality or positive qualities partner company. Talk to the specialist’s immediate supervisor, find out about his skills and achievements, and then, based on the information received, express your gratitude.   • Be sure to indicate the reason for which the letter is being delivered (“due to exceeding the department’s plan by 50%,” “on the occasion of bank employee’s day,” and so on).
  • It is advisable to use not only words of gratitude, but also warm wishes for the employee or team of the partner company, as well as express hope for further successful relationships (if appropriate).
  • The award must be presented publicly, with the entire text read out.

Do not forget to check what you have written for various types of errors (punctuation, spelling and others). Pay special attention to the correctness of last names, first names, patronymics, positions and names of organizations.
